Terms of Service

1. Acceptance of Terms
By adding Guild Ledger to your Discord server or using any of its commands, you agree to these Terms of Service. If you add the bot on behalf of a server, you represent that you have the authority to bind that server's operators to these terms. If you do not agree, please remove the bot from your server and discontinue use.
2. Description of Service
Guild Ledger is a Discord bot that provides audit logging, moderation event tracking, approval workflows, and a per-guild ledger. It is available free of charge, with optional Pro features available via Discord's subscription system.
The ledger feature is a record-keeping convenience. It is not accounting, bookkeeping, tax, or legal advice, and it is not certified as a system of record for any statutory purpose. You are solely responsible for maintaining independent records sufficient to meet any legal, tax, or accounting obligation that applies to you, and for verifying any figures the bot produces before relying on them.
3. Acceptable Use & Prohibited Uses
You agree not to use Guild Ledger to harass, spam, or harm other users; to violate Discord's Terms of Service or Community Guidelines; or to attempt to circumvent any access controls, entitlement checks, or rate limits.
In addition, you must not use Guild Ledger to:
- Collect sensitive personal data through forms. Approval forms must not request or collect special categories of personal data — including health or medical information, racial or ethnic origin, religious or philosophical beliefs, political opinions, trade union membership, sex life or sexual orientation, or biometric/genetic data — nor government identification numbers, passwords or account credentials, or payment card numbers.
- Operate real-money gambling, wagering, lotteries, or games of chance involving money or anything of monetary value.
- Provide money services. The ledger may not be used for money transmission, currency exchange, escrow, lending, or the sale of financial products. Ledger balances are records you create; they are not deposits, stored value, or claims against us.
- Record or facilitate illegal activity, including transactions in illegal goods or services.
- Scrape, harvest, or reselldata obtained through the bot, or offer the bot's functionality to third parties as your own service.
We may suspend or remove the bot from any server we reasonably believe is violating these terms.
4. Server Operator Responsibilities & Data Processing
For personal data processed by the bot at your direction (audit logs, form submissions, ledger entries), the server operator acts as the data controllerand Guild Ledger processes that data on the operator's behalf, as described in the Privacy Policy. The subprocessors we use (including Amazon Web Services, DynamoDB, us-east-1 region, for hosting) are listed in the Privacy Policy, which we keep updated when that list changes.
When processing personal data on your behalf, we: process it only as needed to provide the features you have configured; store it encrypted at rest with automatic time-based deletion, as described in the Privacy Policy; restrict access to it to what operating the service requires; assist you, through the data-management tools in /config, in responding to member access and erasure requests; and delete or automatically expire stored data as described in the Privacy Policy when service to your server ends.
As a server operator, you are responsible for:
- informing your members that the bot is in use and what it logs (the
/aboutcommand is available to every member for this purpose); - having a lawful basis for the logging and form configurations you enable, including any optional features such as message-content or nickname logging;
- configuring retention periods appropriate to your server, and designating your server as subject to financial record-keeping obligations only where that genuinely applies;
- the content of the forms you create and the data they request, within the limits of Section 3;
- the destination and security of any outbound webhook endpoints you configure — event data (including User IDs) is delivered to the URLs you choose, and you are responsible for those recipients;
- handling member questions, objections, and erasure requests, using the data-management tools provided in
/config.
5. Pro Subscriptions
Pro features are gated via Discord's Premium Apps subscription system. All subscriptions are managed and billed directly by Discord, Inc. Pricing, billing cycles, and refunds are subject to Discord's own policies.
If a Pro subscription lapses, Pro-gated features stop being available and newly written audit-log entries revert to the free retention window, as described in the Privacy Policy. Lapse of a subscription does not delete previously stored data ahead of its existing expiry.
6. Disclaimer of Warranties
Guild Ledger is provided "as is" and "as available", without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that any record will be retained for any particular period, including the configured retention period. No service-level commitment is offered on any plan. Discord outages, API changes, and infrastructure failures may interrupt logging, and events occurring during an interruption may not be recorded.
7. Limitation of Liability
To the maximum extent permitted by law, we are not liable for any indirect, incidental, special, consequential, or punitive damages, or for loss of data, profits, revenue, or goodwill, arising from or related to your use of the service — even if advised of the possibility of such damages.
Our total aggregate liability for all claims arising out of or relating to the service is limited to the amounts you paid for Guild Ledger Pro in the twelve (12) months preceding the event giving rise to the claim, or zero if you have paid nothing. Some jurisdictions do not allow certain exclusions or limitations; in those jurisdictions, our liability is limited to the smallest amount permitted by law.
8. Indemnification
You agree to indemnify and hold harmless the operator of Guild Ledger from any claims, damages, liabilities, and reasonable legal costs arising from: (a) the logging, form, and retention configurations you enable; (b) data your forms collect from your members; (c) your use of the ledger feature, including any reliance on it for statutory record-keeping; or (d) your violation of these terms or of applicable law.
9. Termination
You may stop using the service at any time by removing the bot from your server. We may suspend or terminate service to any server or user at any time, with or without notice, including for violation of these terms, abuse of the service, or legal or security risk. Upon termination, stored data is handled as described in the Privacy Policy.
10. Changes to Terms
We may update these terms at any time. Material changes will be reflected in the "Last updated" date above. Continued use of the bot after changes are posted constitutes your acceptance of the revised terms.
